Undergraduate Student Assistant – Workflow Documentation Specialist
The School of Public Health-Bloomington is seeking highly motivated and detail-oriented undergraduate students who are passionate about analyzing workflows and streamlining processes. This role offers valuable hands-on experience in documenting work processes, creating standard operating procedures, and contributing to organizational efficiency. The position provides flexibility to accommodate class schedules and offers the possibility of extending into the next academic year for qualified candidates.
Position Overview: As a Workflow Documentation Specialist, you will work in partnership with departments to interview staff and create comprehensive workflow documents, work instructions, and standard operating procedures. This role requires highly effective verbal communication skills, strong writing ability, a keen eye for detail, and the ability to work independently while following instructions. The goals of this position are to enhance the clarity of expectations, emphasize proactive collaboration, and identify possible continuous improvement initiatives. Work hours are flexible to accommodate class schedules. For the right candidates, this position could extend into the next academic year, so 2nd and 3rd year undergraduates are encouraged to apply.
Responsibilities:
- Conduct interviews with staff members to gain a deep understanding of job processes.
- Create clear and comprehensive workflow documents, work instructions, and standard operating procedures that accurately reflect current practices.
- Collaborate with team members to identify opportunities for process improvement.
- Ensure that all documentation adheres to SPHB policies and standards, promoting consistency and clarity.
- Revise existing documentation as needed, incorporating feedback and changes.
- Work closely with cross-functional teams to gather feedback and incorporate changes to enhance documentation quality and improve efficiency.
Requirements:
- Currently enrolled as an undergraduate student at IU.
- Excellent written and verbal communication skills.
- Strong problem-solving abilities.
- Demonstratable ability to conduct effective interviews with staff at various levels.
- Meticulous attention to detail, ensuring accuracy and clarity in documentation.
- Proficient in Microsoft Office applications.
- Ability to work both independently and collaboratively within a team.
- Enthusiasm for learning and adapting to new challenges.
Preferred Qualifications:
- Majors in Management, Operations, Marketing, Accounting, Finance, or related fields.
- Familiarity with process mapping tools or software.
- Previous experience and/or coursework in organizational design, process documentation or technical writing.
